The visible cost
Monday's own seat pricing is straightforward and public. What is not obvious to first-time buyers is that the implementation piece (schema design, automations, integrations, permissions, and the SOP that keeps the board healthy) is where the real spend lives. That work happens once, but it is what determines whether the tool lasts 3 months or 3 years.
A rule of thumb
For a small business, a serviceable rule of thumb: the implementation itself typically costs a multiple of a single year of seats, front-loaded. After that, ongoing maintenance is small, but not zero. Boards drift. Teams grow. Automations that fit a 5-person operation break for a 15-person one.
The trap
Buying seats first, then trying to design the boards after the team is already using them. That produces the "spreadsheet in Monday" pattern (columns nobody agreed on, statuses nobody uses, automations nobody trusts). Design the schema before the seats ship, or you will pay to rip it out and rebuild it inside 6 months.
